# Asset documents

> Attach equipment manuals and make processed knowledge available to Ask Canary.

Asset documents keep manuals, specifications, drawings, and service references beside the equipment they describe. PDF and DOCX uploads can be processed for asset-scoped Ask Canary search.

Manage asset documents in the web app. The mobile app currently supports file attachment on work orders; asset-document management remains in the web asset record.

## Upload a document

1. Open the asset or its edit form in the web app.
2. Go to **Documents**.
3. Add a PDF or DOCX file up to 50 MB.
4. Give it a recognizable name.
5. Save the asset or finish the upload.
6. Wait for the processing status to reach **Completed** before using AI search.

## Processing states

| State      | Meaning                                   |
| ---------- | ----------------------------------------- |
| Pending    | The document is queued                    |
| Processing | Canary is extracting and indexing content |
| Completed  | The document can be searched              |
| Failed     | Processing stopped and can be retried     |

## Search with Ask Canary

1. Open global **Ask Canary**.
2. Mention or attach the asset that owns the document.
3. Ask a specific question and name the manual or topic when known.
4. Open the cited source and verify the relevant page before acting.

The work-order copilot searches documents attached to that job's asset. Global Ask Canary can use the broader asset context you explicitly provide.

## Safety

Use document answers as a route to source evidence. Follow approved site procedures, lockout/tagout requirements, and manufacturer instructions for safety-critical work. Retry failed processing or open the source file directly when searchable content is unavailable.
