# About parts

> Understand the part catalog, location stock, availability, and equipment relationships.

A part is a reusable catalog record for an item used in maintenance. It connects identification and supplier details to stock by location, compatible assets, work-order demand, and movement history.

## Part details

A part can include:

* Name, description, external ID, part number, manufacturer, and unit cost
* One or more part types
* Image, attachments, and custom fields
* Compatible assets
* Multiple inventory locations with area, on-hand, minimum, and maximum values
* Scannable identifiers
* Vendors with supplier part numbers, costs, currency, and preferred-supplier status

## Inventory terms

| Term          | Meaning                                                               |
| ------------- | --------------------------------------------------------------------- |
| On hand       | Physical quantity recorded across locations                           |
| Committed     | Quantity in Reserved, Kitted, or Staged work-order part states        |
| Available     | On hand minus committed quantity                                      |
| Ordered       | Outstanding quantity on active purchase orders                        |
| Needs restock | The configured stock basis is below the location or aggregate minimum |

The stock basis can be on-hand or available quantity. A part reaches **Needs Restock** only when that basis falls below its minimum.

## Negative stock

Canary permits signed on-hand quantities so the ledger can represent urgent use before a count is reconciled. Review negative balances and post a documented adjustment or restock after verifying physical stock.

## Archive and restore

Deleting a part archives the catalog record and removes it from active selectors. Automations that reference the part block deletion until the dependency is removed. Administrators can restore archived parts from **Settings > Features > Parts Inventory > Recovery**.

Work-order issues, stock movements, and purchasing snapshots remain preserved through archive and restore.
