# Schedule work

> Plan work by technician, start time, and estimated hours, then publish the changes together.

The **Schedule** gives admins a weekly planning surface for work orders. Draft placement stays unpublished until you review and publish it, so several related changes can move to the team together.

Schedule access and publishing require an admin role.

## Understand the board

* **Unscheduled** contains Open, On Hold, and In Progress work orders without a Scheduled Start.
* Technician rows show scheduled work by day and time.
* Capacity compares scheduled estimated hours with each user's configured working hours and working days. Canary marks a row **Over capacity** when allocation exceeds that capacity.
* **Today**, **Previous week**, and **Next week** move through the calendar.

The work order's **Due Date** remains its completion target. **Scheduled Start** and **Estimated hours** define its place and size on the planning board.

## Schedule a work order

1. Open **Schedule**.
2. Find the work order under **Unscheduled**.
3. Drag it onto a technician's day, or open it to use the schedule editor.
4. Set **Date**, **Start time**, **Technician**, and **Estimated hours**.
5. Select **Save draft**.
6. Repeat for the other work you want to plan.
7. Select **Publish 1 change** or **Publish *n* changes**.
8. Review the changes and select **Publish**.

Dragging a scheduled work order to **Unscheduled**, or selecting **Unschedule** in the editor, creates an unschedule draft. Select **Discard** to clear all unpublished changes.

## Explain schedule changes

A first-time schedule needs no reason. Rescheduling or unscheduling existing work requires one of these reasons:

* **Parts unavailable**
* **Priority change**
* **Sick or PTO**
* **Weather**
* **Equipment access**
* **Other**

Add a **Note (optional)** when the reason needs more context.

## What publishing records

For every applied work order, Canary records:

* schedule, reschedule, or unschedule;
* publisher and published time;
* selected reason and note;
* previous and new Scheduled Start;
* previous and new technician assignment; and
* previous and new Estimated hours.

Publishing updates the work order, adds a corresponding event to its **Activity**, and starts schedule notifications for the affected assignees.

## Resolve concurrent changes

If a work order changed after you began planning, Canary leaves that draft unapplied and shows **Some changes couldn't be applied**.

* Choose **Use mine** to refresh the draft against the latest version and publish it again.
* Choose **Use server** to discard your draft for that work order and keep the current work-order values.

Other work orders in the same publish batch can still apply successfully. Review the remaining change count before publishing again.
