# Comments, activity, and PDF export

> Coordinate on a job, review its timeline, and generate a branded work-order record.

Comments hold the team's conversation. Activity holds the chronological record of changes. PDF export creates a portable job or completion document from the work order's current data.

## Add a comment

1. Open a work order.
2. Open **Comments**.
3. Enter your update in the comment box.
4. Type `@` and choose a person when the update needs their attention.
5. Select **Post** on the web or **Send** on mobile.

Commenting subscribes you to the work order. Mentions notify the selected users, and other subscribers can receive the new-comment update.

Useful comments include diagnostic findings, access constraints, handoff notes, and context behind a status decision. Keep measured results in procedure fields so they remain structured.

## Review activity

Open **Activity** to see events such as:

* work-order creation, including automation-created work;
* status and assignment changes;
* edited fields;
* comments; and
* published schedule, reschedule, and unschedule events.

Each activity entry records its time and, when available, the person who made the change. Publishing the Schedule creates both a structured schedule-change record with its previous and new values and a matching work-order Activity event.

## Attach a work-order document

1. Open the work order on the web or mobile app.
2. Open **Files**.
3. Select **Attach** or the add action. On mobile, continue through **My Files**.
4. Choose one PDF or DOCX file up to 50 MB.
5. Wait for processing to begin, then refresh the list to review its current status.

Work-order documents stay with the current job. Put manuals and other reusable equipment knowledge on the [asset record](/help/assets/documents) when Ask Canary should search them in asset context.

## Export a work order PDF

1. Open the work order.
2. Open **More actions** on the web or the work-order actions menu on mobile.
3. Select **Export PDF** or **Export to PDF**.
4. Save or share the generated file.

The PDF can include:

* organization name and logo, work-order ID, status, priority, and QR code;
* description, pictures, asset, location, assignment, requester, and dates;
* the attached procedure snapshot and recorded responses;
* planned or issued parts, subject to Parts visibility; and
* a sign-off block and generated timestamp.

Attached work-order documents remain separate files in Canary; the generated PDF contains the work-order fields and procedure evidence listed above.

The export follows the current viewer's work-order access. Issued part costs appear for admins and stay omitted for other roles.

Admins can configure the PDF under **Settings** → **Organization** → **Document settings**. Available settings include **Accent color**, **PDF footer text**, and **Sign-off layout**. The sign-off choices are **Standard**, **NOM**, and **PEMEX SPPTR**.

Comments and the Activity timeline stay in Canary. Use the PDF for the job record and use Activity for the full change history.
