Organization roles control product access. Teams group existing users for work assignment and request routing. Organization administration comes from the organization role; a team role describes responsibility within one team.

Organization roles

Invite a user

  1. Open Users and select Invite User.
  2. Enter the email address.
  3. Choose the organization role.
  4. Send the invitation.
Pending invitations can be resent to extend their expiry or canceled. A user receives access after accepting and signing in.

Set work-order visibility and capacity

Administrators can set an organization default of Full or Limited work-order visibility and override it for an individual user. Limited visibility includes work created by, assigned to, or assigned to a team of that user. Admins always retain full work-order visibility. The user detail page can also store working hours, working days, and an hourly-rate override. Availability feeds schedule capacity overlays. The individual rate overrides the organization’s default labor rate.

Create a team

  1. Open Teams and select New Team.
  2. Enter a name and optional description or image.
  3. Create the team.
  4. Add existing organization users.
  5. Choose Member or Team Admin for each team membership.
Team roles label team responsibility. Organization-admin authorization continues to govern roster changes.

Change a role safely

Changing a user to Requester or Service Account is blocked while that user is referenced by an active work order, active work-order template, or automation. Reassign or finish the work and update those dependencies first. The signed-in administrator must retain their own Admin role.

Remove a user

  1. Reassign or finish active work.
  2. Remove active template and automation dependencies.
  3. Open the user and select Remove.
  4. Confirm permanent access removal.
Canary preserves historical work and identity snapshots. User removal is permanent, also removes the organization membership, and excludes the currently signed-in administrator.

Delete a team

Resolve active work orders, work-order templates, automation assignments, and pending request routing first. Deleting the team removes it from active use while retained historical records keep their team context. The current product has no team restore workflow.
