A Request Portal is a public Request form with its own link. Anyone who has the link can submit an issue without a Canary account, making portals useful at equipment, shared spaces, service desks, and customer-facing locations. Requests and Request Portals must both be enabled for a public portal link to accept submissions. Admins manage portal configuration.

Create a portal

  1. Open SettingsRequest preferences.
  2. Under Request Portals, select Manage Request Portals.
  3. Select New Request Portal.
  4. Enter a Portal Title and optional Welcome Text.
  5. Add a Portal image and Description placeholder when they help requesters identify the right form and provide useful context.
  6. Configure the form fields and routing.
  7. Review the Live preview.
  8. Select Create Portal.

Configure the form

Every portal collects a Request Title. For the other fields, use Visible and Required to shape the intake experience:
  • Location
  • Asset
  • Description
  • Contact Information
  • Pictures
  • Files
  • Organization-defined custom fields
For Location and Asset, choose All available options or One fixed option. A fixed location or asset works well for a QR code mounted at a known site or machine. Use Assign To to route every portal submission to a review team. The Request detail records which portal created it.

Configure requester updates

Turn on Let requesters choose to receive email updates about their requests to show an opt-in on the public form. Choose which events can generate updates:
  • Request Created
  • Request Approved
  • Request Declined
  • Request Completed
Limit requester identification to email only makes the contact field email-specific. Support Contact Settings adds a contact address to the portal for people who need help.

Share a portal

  1. Open the portal’s actions.
  2. Select Share Portal.
  3. Use Copy Link for digital sharing.
  4. Use Print QR Code or Download QR Code for signs and equipment labels.
People who submit through the portal see Request submitted after Canary receives the Request.

Edit or delete a portal

Open a portal, update its settings, and select Save Changes. Changes apply to future submissions. Delete stops the public link from accepting Requests. Requests already submitted through that portal remain in the Request workspace with their provenance and review history.
