Canary records timer-based labor entries and associates planned or issued material usage with the work order that produced it. Cost visibility follows the viewer’s role.

Record time on mobile

Admins and members can record time on an active work order they can access:
  1. Open the work order in the mobile app.
  2. Select Start Timer.
  3. Use the pinned controls to pause, resume, and stop the timer.
  4. Review the accumulated duration under Time & Cost Tracking.
Pausing or stopping creates a labor entry for the completed timer segment. The Time total includes recorded segments for the work order. Admins can also see the calculated labor cost; other roles see the duration with the cost withheld. Canary captures the technician’s configured hourly rate, or the organization default, when the timer starts. Administrators manage those rates in the web app. Manual time and expense entry forms remain outside the current web and mobile interfaces, and Other Costs remains visibly unavailable on mobile.

Plan parts for a work order

When Parts is enabled:
  1. Create or edit an active work order.
  2. Open Parts for this Work Order.
  3. Add a part, stock location, and planned quantity.
  4. Review availability before reserving or completing the work.
Admins and members can change planned parts on active work orders they can access. Other work-order viewers receive read-only part details, with issued costs omitted. Each part-and-location pair appears once. Active work orders can move planned parts from Assigned to Reserved. Releasing a reservation returns it to Assigned. Admins can explicitly override an inventory overcommit while reserving. Done, Canceled, and Skipped work orders present their parts as read-only history.

What happens on completion

When a work order moves to Done, Canary issues each pending planned quantity and records:
  • quantity used;
  • part name and part number;
  • stock location name;
  • unit cost and currency available at issue time; and
  • the linked inventory movement.
These snapshots keep the job understandable after part names, locations, or current costs change. Issued part costs are visible to admins. If Parts is disabled when the work order is completed, Canary flags the work order with Inventory reconciliation required. Completion history remains available, and an admin can later run Reconcile inventory from the governed recovery flow.
