The work lifecycle

  1. A requester submits a Request, or a planner identifies work directly.
  2. A reviewer approves the request and creates its linked Work Order.
  3. A planner adds an asset or location, assignment, priority, dates, parts, and a Procedure.
  4. An admin places the work on the Schedule when a technician and start time are known.
  5. The technician records progress, procedure responses, parts, and comments on the work order.
  6. Marking the work order Done completes linked request work and preserves the maintenance record.
Work Order Templates provide reusable defaults for common jobs. Maintenance Plans combine one template, a set of assets, and a calendar cadence to create preventive work orders automatically.

Choose the right record

Access by role

  • Admins can review all requests, manage Request Portals and Maintenance Plans, and publish the Schedule.
  • Members can review requests routed to their teams. Their work-order visibility follows the organization’s Full or Limited setting.
  • Operators see work orders assigned directly to them or to their teams.
  • Requesters create and follow their own requests. Their request status carries the maintenance team’s progress back to them.
